1. Introduction
This Acceptable Use Policy explains the standards of behaviour and platform use that apply to all users of HivePo.
HivePo is a recruitment technology platform designed to support Process Outsourced recruitment activity through structured digital workflows, platform controls, communications, and related services.
All users of HivePo must use the platform lawfully, professionally, and in a manner that supports the integrity, security, and proper operation of the platform.
This Policy applies to website visitors, clients, recruiters, agencies, contractors, candidates where relevant, and any other person who accesses or uses HivePo.
2. Purpose of this policy
The purpose of this Policy is to protect:
- the security and integrity of the platform
- the privacy and confidentiality of users
- the quality of recruitment activity conducted through HivePo
- the commercial rights and protections of the platform and its users
- the lawful and professional use of all platform features
HivePo is intended to be used as a professional recruitment environment. Users must not use the platform in a way that is abusive, deceptive, unlawful, harmful, disruptive, or inconsistent with the intended purpose of the service.
3. Lawful and proper use

4. Prohibited conduct
Users must not use HivePo to engage in conduct that is unlawful, misleading, harmful, abusive, or improper.

- providing false, misleading, deceptive, or inaccurate information
- impersonating another person, business, or authorised user
- submitting unauthorised, fabricated, duplicate, or speculative candidate or role information
- engaging in fraud, attempted fraud, or dishonest conduct
- breaching privacy, confidentiality, or data protection obligations
- discriminating unlawfully or engaging in unlawful recruitment conduct
- harassing, threatening, abusing, intimidating, or defaming any person
- using the platform to send spam, improper solicitations, or irrelevant promotional content
- uploading malicious code, viruses, scripts, or harmful files
- interfering with platform performance, security, or availability
- attempting unauthorised access to systems, accounts, data, or infrastructure
- circumventing platform workflows, fee structures, protections, approvals, or controls
- using information obtained through HivePo for unauthorised off-platform gain
- infringing intellectual property or other legal rights
- engaging in conduct that damages or may damage HivePos reputation, operations, or user trust
5. Misuse of candidate information
Candidate information must only be used for legitimate recruitment and hiring purposes connected to the relevant role, workflow, or authorised platform activity.
Users must not:
- use candidate information for unrelated purposes
- share candidate information without lawful authority
- store, copy, export, or distribute candidate information outside authorised processes
- market to candidates improperly
- contact candidates in a misleading or unauthorised manner
- use candidate information to avoid platform protections or commercial arrangements
HivePo treats misuse of candidate information seriously and may take immediate action where such conduct is suspected.
6. Misuse of client, recruiter, or platform information
Users must not misuse non-public information accessed through HivePo, including:
- client information
- recruiter or agency information
- commercial information
- fee structures
- platform workflows
- internal notes
- role information
- communications
- documents
- account details
Such information may only be used for legitimate purposes authorised by the platform and relevant user relationship.
Users must not copy, exploit, disclose, sell, scrape, republish, or otherwise misuse this information.
7. Security and technical misuse
Users must not:
- attempt to bypass authentication, access controls, permissions, or security features
- test, scan, probe, or exploit platform vulnerabilities without written permission
- reverse engineer platform logic, workflows, or systems
- scrape or harvest data from the platform
- use bots, scripts, crawlers, automation, or tools in a way not authorised by HivePo
- interfere with system performance or attempt denial-of-service behaviour
- upload harmful files or code
- use the platform in a way that may compromise platform integrity or the safety of user data
Any suspected technical misuse may result in immediate restriction, suspension, investigation, or legal escalation.
8. Professional standards of conduct
HivePo is intended to operate as a professional business environment.
Users must:
- act honestly and in good faith
- communicate professionally
- respect confidentiality obligations
- use the platform in line with legitimate recruitment and business purposes
- comply with reasonable workflow requirements and platform instructions
- avoid conduct that undermines trust, fairness, or platform quality
Users must not use HivePo in a way that is reckless, manipulative, aggressive, exploitative, or otherwise inconsistent with a professional recruitment environment.
9. Circumvention and off-platform misuse
Users must not use HivePo to identify opportunities, candidates, recruiters, clients, or commercial relationships and then attempt to bypass platform terms, fee protections, candidate protections, or commercial arrangements.
Prohibited behaviour includes:
- moving introductions off-platform to avoid fees
- concealing placements, contracts, extensions, or conversions
- using platform information to pursue unauthorised direct deals
- attempting to defeat platform protections through side arrangements or hidden communications
- redirecting activity in a way that undermines the intended commercial model
HivePo may investigate and act on suspected circumvention even where the conduct occurs partly outside the platform.
10. Content standards
Any content submitted to HivePo must be lawful, accurate, relevant, and professionally appropriate.
Users must not upload, post, send, or submit content that:
- is false or misleading
- is defamatory, abusive, obscene, threatening, or discriminatory
- breaches privacy or confidentiality
- infringes third-party rights
- contains malicious code or harmful material
- is unrelated to legitimate platform purposes
- is likely to mislead users or damage the integrity of the recruitment process
HivePo may remove or restrict content that does not meet platform standards.
11. Monitoring and enforcement
HivePo may monitor, review, investigate, restrict, or remove platform activity where reasonably necessary to protect the platform, its users, or its legal and commercial interests.
This may include review of:
- account activity
- role activity
- candidate submissions
- communications
- uploaded content
- technical behaviour
- billing or payout-related activity
- suspected misuse or breach patterns
Where HivePo considers that a user may have breached this Policy, HivePo may take action including:
- issuing a warning
- removing content
- restricting access to features
- placing holds on submissions or payments
- suspending accounts
- terminating accounts
- reporting conduct to relevant authorities
- pursuing contractual or legal remedies
12. No right to misuse platform access
Access to HivePo is conditional and revocable.
No user has a right to use the platform in a way that is inconsistent with HivePos intended purpose, platform controls, legal obligations, or commercial protections.
HivePo may limit or revoke access where reasonably necessary to maintain platform integrity, safety, compliance, or quality.
13. Changes to this policy
HivePo may update this Acceptable Use Policy from time to time by publishing an updated version on the website or platform.
Continued use of HivePo after any update takes effect may constitute acknowledgement of the revised Policy, subject to applicable law.
